These terms apply to membership of Heathfield & Waldron Rugby Football Club (“the Club”, “we”, “us”) and to your use of our website and account on the Pitchero platform. By joining the Club, using our website or taking part in Club activities, you agree to these terms. The Club is a company limited by guarantee (06255477) and a registered Community Amateur Sports Club (CASC), based at Cross in Hand, Heathfield, East Sussex TN21 0SN.

1. Membership
• Membership is open in line with the Club’s constitution and the categories the Committee sets from time to time. The Committee may decline or terminate membership in accordance with the constitution.
• Applicants under 18 must be registered by a parent or guardian, who accepts these terms on the child’s behalf.
• Membership runs for the period stated when you join or renew (normally the playing season), and does not renew automatically unless we tell you otherwise.
• You agree to keep your contact and — where relevant — medical and emergency-contact details up to date, through your Pitchero account or by telling the Membership Secretary.

2. Fees and payment
• Membership fees, match fees and subscriptions are set by the Committee and published each season.
• Fees are due as stated at the point of joining or renewal. Playing membership and eligibility to be selected may depend on fees being up to date.
• Payments are collected through the Club’s chosen payment methods (including via Pitchero). By paying, you authorise the Club to process that payment for the stated purpose.
• Refunds: fees are generally non-refundable once the season or activity has begun, except where required by law or agreed by the Committee in exceptional circumstances (for example, long-term injury or relocation). Requests should go to the Treasurer or Membership Secretary.
• If fees or other sums owed remain unpaid, the Club may suspend membership privileges and, as set out in the Privacy Policy, may pass details to a debt-collection agency.

3. Code of conduct
By being a member you agree to:
• uphold the values of the game and behave with respect towards players, officials, coaches, volunteers, opponents and spectators;
• follow the RFU Codes of Conduct, the Club’s constitution and rules, and the reasonable instructions of coaches and committee members;
• follow the Club’s Safeguarding, Equality & Diversity and other published policies; and
• respect Club and third-party property, including at away fixtures and social events.
Behaviour that brings the Club or the game into disrepute may lead to disciplinary action under section 6.

4. Playing rugby — risk and responsibility
• Rugby is a physical contact sport that carries an inherent risk of injury. By taking part, you accept those ordinary risks.
• You must not play or train against medical advice, and you must tell your coach of any condition or injury that could affect your safety or that of others.
• Nothing in these terms limits our liability for death or personal injury caused by our negligence, for fraud, or for anything else that cannot be excluded by law. Beyond that, the Club is not liable for loss or injury arising from the normal risks of the sport or from your own failure to follow safety instructions.
• Personal property brought to the Club or its premises is left at your own risk.

5. Website and account use
• Your Pitchero account and login are personal to you — keep your password secure and do not share your account.
• You must give accurate information and keep it current.
• Do not use the website or Club channels to post unlawful, abusive, discriminatory or defamatory content, to harass others, or to share other members’ personal data without permission.
• The website is provided by Pitchero and is also subject to Pitchero’s own terms; we are not responsible for the availability of the platform itself.
• We may suspend or remove account access for breach of these terms.

6. Discipline and removal of membership
• The Club may investigate conduct concerns and take disciplinary action in accordance with its constitution and, where relevant, RFU disciplinary procedures.
• Sanctions may include a warning, suspension or termination of membership. Serious safeguarding or conduct matters may be referred to the RFU, Sussex Rugby or the appropriate authorities.
• Members will be treated fairly and given the chance to respond, as set out in the constitution.

7. Changes to these terms
We may update these terms from time to time — for example to reflect changes in the law, RFU regulations or how the Club operates. The current version will always be available on our website, and continued membership or use of the site means you accept the updated terms.

8. Governing law
These terms, and any dispute arising from them or from your membership, are governed by the law of England and Wales and subject to the jurisdiction of its courts. Where these terms conflict with the Club’s constitution, the constitution prevails.
