This explains how Heathfield and Waldron Rugby Football Club ("the Club", "we") looks after your personal information. If you have any questions, email our Data Officer at dataofficer@hwrfc.org.uk.

What we collect

- When you contact us or sign up through our website: your name, email, phone number and anything you write to us.
- When you join or play: your contact details, date of birth, an emergency contact, your membership and playing records, and any medical information you give us so we can keep you safe.
- For under-18s, we collect this primarily through a parent or guardian.

We don't use CCTV, and our website only uses basic cookies to work properly and, with your permission, cookies that show us how the site is used.

How we use it

We use your information to run your membership and rugby, to keep you safe, to contact you about the Club, and to meet our legal duties. We only send newsletters or use photos of you if you've agreed, and you can change your mind at any time.

Who we share it with

We share information only when we need to — with the Rugby Football Union (through the Game Management System), our county RFU and leagues for registration, with trusted providers who run our email, files and website, and with first-aiders or the right authorities if someone's safety is at risk. We will never sell your information.

How long we keep it

Only as long as we need it — usually while you're a member and for a short time after. Some records, such as accident and financial ones, we keep longer because the law requires it.

Your rights

You can ask to see, correct or delete the information we hold about you, or ask us to stop using it. Just contact our Data Officer — it's free.

Complaints

If you're unhappy with how we've handled your information, please tell our Data Officer first. You can also complain to the Information Commissioner's Office (ICO) at [ico.org.uk](https://ico.org.uk) or on 0303 123 1113.
